How three offices stopped using a paper sign-in register.
About 18 people now clock in and out on their phones. Eight months in, this is how it has gone.
Before
All three offices used a manual sign-in register. People wrote down when they came in and when they left. At the end of each pay period someone had to go through those pages to work out the hours.
What Sirrius Time does
Sirrius Time is our name for the app. Staff clock in and clock out on their phone. The app is geofenced to the office. It checks the phone’s GPS location and only lets someone clock in or out at the office or right next to it. You can’t clock in from home or on the road.
The owner and the bookkeeper have a portal where they can see everyone’s hours. That makes payroll easy and vacation pay easy, and if anyone ever needs a record of their employment, it’s there.
The same app is used for vacation planning.
If your office uses a card-scan clock
Sirrius Time replaces a card-scan clock in much the same way as a paper register. Hours are recorded at the office and collected in one place, so payroll, vacation pay and employment records come straight from the portal.
It also does two things a card scanner doesn’t. There’s no hardware: staff use their own phones, so there’s no scanner to buy, mount or repair, and no cards to replace when they’re lost. And clocking in for someone else gets harder. With a card, a colleague can swipe it for you. With Sirrius Time they’d need your phone.
What surprised us
There was pushback just from a couple of people against the new system at first. What surprised us is that it stopped in a couple of weeks. People adapted very quickly.
When someone forgets
Mistakes still happen, usually when someone forgets to clock in. The fix is a text message to a sub-admin, who checks with the owner or the office manager if needed and corrects it.
It doesn’t happen often, and it has become rarer as the weeks have gone by.
The result
The hours are real. Every clock-in and clock-out on record happened at the office.
Why we’re writing about it
There is no AI in Sirrius Time. It’s a small app that does one job every day. If your office still keeps track of something on paper or in a spreadsheet, this is the kind of thing we build.
